How to personalise the BlackBerry Desktop Manager
Now that you've installed the BlackBerry software, Find out what to do to get the best experience from you handheld device -- including how to sync your desktop PC with your handheld and how to back up your email.
Setting up your BlackBerry Desktop software
These instructions will show you how to set up three major BlackBerry settings:
- Intellisync: This synchronizes your handheld and desktop personal information management (PIM) applications so that all Address Book entries, Calendar items, memos, and tasks appear on both systems. Configure your desktop email for reconciliation and update the date and time settings on your handheld.
- Back up and Restore settings: These settings allow you to back up information from your handheld to your desktop for storage, and then transfer this information back again, as required.
- Redirector: This allows you to set up your desktop email programme to forward email directly to your handheld. (Please note: this is for use with the BlackBerry Enterprise solution only)
Once these are set up, it's easy to personalise your BlackBerry settings to your own needs.
When you've installed the software, click on the software icon on your desktop to reveal the 'BlackBerry Desktop' window. This window contains four items: the Application loader, which loads new applicatons and upgrades from your desktop to your handheld, and the three settings mentioned above: Intellisync, Backup and Restore, and Redirector.
Intellisync
There are two parts to the Intellisync setup. First, double click on the Intellisync icon.
- 'Synchronise now' section: Ensure that 'Reconcile email, Synchronise PIM and Update Handhelds Date & Time' are ticked.
- 'Configuration' Section:
- Click on the 'Auto Start' Button.
- Ensure Reconcile email, Synchronise PIM and Updates Handhelds Date & Time are ticked. This action will reconcile email and synchronise PIM each time you cradle your device.
- Press OK
- Click on the 'Configure PIM' button. By default all icons (Address Book, Calendar, Memopad, and Tasks) will map to MS Outlook or Lotus Notes dependant on your email platform.
- Firstly ensure Address Book, Calendar, Memopad, and Tasks are ticked.
- Highlight Calendar
- Click on the choose button
- Scroll through settings to 'BlackBerry Wireless Sync' and highlight.
- Ensure in the Operation section that 'Synchronise' is selected.
- Press OK
- Press OK again
- Click on the 'Configure Email' button
- Folder Content Synchronisation: Ensure 'Synchronise moves and deletes' and 'Mailbox wins' are selected
- Personal Folder: select here which personal folder you require to reconcile email messages from.
- Press OK
- Close Intellisync.
Backup and Restore
We recommend that you back up your data regularly to give you the safety of having a second copy of your data in case of unforeseen circumstances, such as if you lose your device.
- Double click the Backup and Restore icon
- In the 'Configuration' section click the options button
- Tick the 'Automatically backup my handheld every' button and select how regularly you would like this to happen
- Select 'Backup all handheld application data'
- Press ok and close the window.
Redirector Settings
Double click on the Redirector Setting icon and a window with four tabs will appear - General, Filters, Security and Advanced.
- The General tab should open by default.
- a. Do not change your PIN number
- b. Ensure the 'Redirect incoming messages to users handheld' box is ticked. If this box is not ticked no messages will be forwarded to your device.
- c. Ensure the 'Disable email redirection to handheld while in cradle' is not ticked. If this box is ticked no emails will be forwarded to your device while in the cradle (ie when charging and synchronising/reconciling)
- d. An Auto Signature can be created. Enter your details in the box provided on this page and each time an email is sent from the BlackBerry your Auto signature will be added.
- Click on the Filter tab
- Filters can be set up to filter out unwanted messages being sent to the BlackBerry. We recommend not setting up any filters - unwanted messages need to be actioned at the desktop or BlackBerry so why not have the ability to action them on the BlackBerry. Your actions will be reconciled once the BlackBerry is cradled with the desktop.
- Ensure 'Forward messages to the Handheld' is selected.
- Security tab. Do not make any changes to the settings in this tab.
- Click on the Advanced tab.
- Do not change any details the email, email profile settings or Message Service display name fields.
- Folder Redirection. If on your desktop you only receive email to your inbox ensure 'Inbox only' is selected. If however, on your desktop, you filter new messages into sub folders:
- Choose 'Selected Folders'
- Click on Choose Folders icon
- Check each folder you want to be redirected to your BlackBerry and click 'Ok'
Remember to check the 'Apply' and 'OK' buttons to ensure your changes are saved.
